The purpose of processing

The purpose of processing your personal data is to allow Councillors to assist you with any enquiries & concerns that you make known to them.

Data subjects

Data subjects are any individuals who contact their local Councillor.

Personal data

The specific personal data that is collected will vary on a case-by-case basis dependent on the specific nature of your enquiry, but will likely include:
• Name
• Contact details including email address and telephone number
• Your date of birth
• Any other personal and special category information that you provide that is relevant to your query.

Councillors may also process criminal offence data if it is necessary for you to provide it so that they can assist you with your query. This may include:
• Information about any criminal record or criminal history
• Allegations of criminal behaviour, including unproven allegations
• Absences of convictions, for example the results of DBS checks, or Police National Computer checks
• Personal data of victims and/or witnesses
• Personal data about criminal penalties that may have been awarded.

How is it used?

Your personal data will be used to process requests for assistance or respond to your enquiries.

Sharing of personal data with external recipients

In some circumstances Councillors may pass details onto other organisations to address your query where appropriate. These organisations may include categories such as:
• Health and social care providers such as NHS trusts
• Law enforcement agencies such as the Police or the Fire Authority
• Charities and voluntary organisations
B&NES Council officers and other organisations must all comply with the Data Protection Act and other regulations including the General Data Protection Regulation (Regulation (EU) 2016/679), and can only use your data to address the query you have raised.

How long is the personal data retained by the Council?

Your data will only be retained for as long as necessary to deal with your initial enquiry and any subsequent developments.
