Community Awards Privacy Notice

The purpose of processing

We only use the information provided in the nomination form for the Community Awards and in associated publicity.

Data subjects

The data subjects will be those who make the nominations those who are nominated and those who take part in the online voting process.

Personal data

We will only collect the data contained in the nomination form which will include:
Name
Address
Email address
Telephone number
Details included in reasons for the nomination
Role within the community

How is it used?

The information provided in the nominations will be utilised to select individuals and groups from various fields, including volunteers, charities, carers, and those who serve the community. Winners in the team and organisation categories will be awarded a framed certificate, which will be presented at a location mutually agreed upon with the respective team or organisation. The recipient of The Peter Duppa-Miller Parish Award will receive a certificate at a Parish Liaison Meeting. Additionally, individual winners and their nominators will be invited to a small celebratory event, where they will be honoured with an Award and certificate in recognition of their contributions. The presentations will be conducted by the Chair of Bath & North East Somerset Council and Community Award Partners.

Profiling and automated decision making

All nominations will be considered by a Judging Panel made up of partner representatives of the Community Awards and any other representative that the Council deems appropriate. Nominations for the categories of Charity of the Year, Volunteer Team of the Year, and Young Volunteer Team of the Year will be shortlisted by the Judging Panel and members of the public will be invited to vote to select the winners of these categories.
You have the right to request that automated decision making be reviewed and replaced by non-automated means (i.e. decisions taken by one of our expert Council officers). To exercise this right please email data_protection@bathnes.gov.uk

We may share your data with the following organisations. This is so the Judging Panel can select the winners from each category.

BEMSCA (Bath Ethnic Minority Senior Citizens Association)

How long is the personal data retained by the Council?

We will retain the nominations for no longer than 6 months after the event and winners for 2 years.
