The purpose of processing
We use the information that you provide to us to share with you details about Forum meetings and other relevant information which the Community Engagement Team deem to be of interest to the Forum via email, telephone and post. We will also share certain details between forum members such as email addresses and telephone numbers to promote interaction. If you are a member of the public contacting us, we will share your questions with the relevant individuals within the forum and if necessary share your details for the purpose of dealing with your query.

The data subjects will be those who are stakeholders of the Forums as set out in the Terms of Reference and other interested parties who may request to be part of the Forum distribution list.

We will use personal data to email details or mail out if specific request is given, about Forum meetings, notices, updates, events, consultations and any other relevant information which the Forum may be interested in.

Sharing of personal data with external recipients
The information will be used by the administrators of the Forums which is currently managed by the Community Engagement Team. Where Forum working / steering groups are set up, membership will be self-nominating and consent given to share contact details with a third party for the purposes of the working group only.
How long is the personal data retained by the Council?
We will retain the personal data for the duration of the Forums. If at any time the Forum meeting is disbanded any personal data will be deleted.
