Privacy Notice for Evacuee Data

The purpose of processing

Your personal data will be processed in order to register you at our emergency centre and provide the necessary assistance.

Persons affected by an emergency or major incident who register at an emergency centre.

Home address
Contact numbers
Information on your accommodation needs
Information on your transportation needs
Medical or disability needs
Dietary requirements
Allergies
Culture or religious needs
Anything else you tell us

How is it used?

We will use your personal data to support you and to look after your needs during this incident, for example:
To find alternative accommodation if you are unable to return home
To provide transportation to an alternative location, to family, friends or somewhere else where you may be able to stay
To contact you with updates on the incident and to let you know when you can return home
To help obtain any medication you need whilst out of your home
To ensure any transportation or accommodation we provide is accessible to your needs
To ensure any food we provide is suitable to your diet, that any allergies you identify are taken into consideration
To ensure that any culture or religious needs are as far as possible taken into account.

Sharing of personal data with external recipients

Sometimes we may need to share your information, but we will only do so where we have a valid legal basis to share data. We will only share the minimum information for each circumstance.

We may share some of your personal information with one or more of the following:

• Avon & Somerset Police
• The NHS

We do this, for example, so that they know you are here and safe if a Casualty Bureau is opened, so that they can link your attendance here with any calls from family and friends who are trying to find you or reporting you as missing. (As obliged under the Civil Contingencies Act 2004.)

How long is the personal data retained by the Council?

The retention period is determined once the incident has concluded. Depending on the incident this could be either straight away or after 7 years

The period of time we will hold this information is dependent on any support provided to you during the evacuation, while your welfare was being looked after by the Council

After this, your personal information will be deleted.
