Consent from parents or guardians must be obtained via the Bikeability Trust Link platform at least two weeks before the start of the course.
Late entries will not be accepted after the agreed deadline, to ensure smooth administration and safe delivery of Bikeability training.
Schools must provide at least two weeks’ notice for any cancellation or reduction in the number of training places. Failure to provide adequate notice will result in the school being charged the full cost of all pre-booked places.
Training sessions may be cancelled at short notice due to unsuitable weather or traffic conditions. In such cases, efforts will be made to agree on alternative dates.
An invoice will be issued two weeks before the first training date, based on the number of consent forms confirmed by the school on the Bikeability Trust Link platform, or on pre-booked numbers, if consents are not received on time.
Schools must ensure prompt payment after invoicing (direct payments from parents will not be accepted).
Parents should be informed that refunds will only be provided in exceptional circumstances, and only if a cancellation notice is given at least two weeks before the first training date.
All information intended for parents and carers must be shared at least one week before the first training date.
Schools should remind pupils and their parents/carers the day before their Bikeability session to bring roadworthy bicycles, helmets, and appropriate clothing.
Relevant teaching staff must be informed of the training dates, session times, and participating pupils.
Teaching staff are responsible for ensuring pupils arrive on time with suitable clothing, helmets, and water bottles.
The structure of training courses will depend on factors such as:
- The size of the off-road training area
- The suitability of local roads
- The number of pupils participating
- The number of instructors available at the time of booking
Pupils will need to bring their own roadworthy bicycles, helmets, and appropriate clothing. If you cannot supply these, you must request them via your online consent form, and we may be able to loan them. No equipment will be available without a request in advance.
Cycling instructors will provide fluorescent/reflective high-visibility clothing for children to wear during on-road training.
All training locations, both on and off-road, will be risk-assessed by National Standard Cycling Instructors before training. Dynamic risk assessments will also be conducted during sessions.
The school must provide exclusive access to suitable off-road training areas (such as a school playground) for the agreed training dates and times.
When appropriate, the school can provide a member of staff if a pupil’s EHCP requires the child to have close support from school staff.
A staff member must be contactable throughout the training session in case of emergencies.
Schools must provide access to toilet and staffroom facilities for cycling instructors.
Instructors reserve the right to exclude a pupil from training under the following conditions:
- Their bike or helmet is not roadworthy, compromising the pupil’s safety.
- The pupil’s behaviour poses a danger to themself or others.
- The pupil is not progressing sufficiently, to the extent that their safety is compromised.
The Bikeability Trust, the charity who manage the Bikeability programme on the behalf of Active Travel England, have developed a new digitised approach to how we organise cycle lessons with you. This is designed to improve the booking, consent and course feedback process for you and your pupils.
As part of this new approach, we must use a web-based app for Bikeability cycle instructors to access and record information to better support riders. In 2025, instructors will use mobile phones as a part of their instructing work to access this app to complete the following tasks:
- Make emergency telephone calls
- For timekeeping
- Register pupil attendance
- Confirm that parents have consented to Bikeability cycle training
- Access additional information such as medical information or adjustments required for pupils with SEND
- Record pupil progress
- Record aggregated responses to hands up survey
Instructors will access this information via a unique log-in. Any data held on a mobile device is encrypted and protected by two factor authentication. Once the training is complete and transmitted to the Bikeability Link server, data is automatically cleared from the instructor device.
Instructors will not use their mobile phones to share confidential information, take photos or videos (without explicit permission) or in a way that may distract from delivering high-quality cycle training. You may wish to support cycle instructors by offering them space, such as the staff room, to submit the required data using their mobile phone, once training is complete.
